Key points
- PMS stands for property management system: the central software a hotel uses to manage bookings, rooms, guests and billing.
- Many other tools in a hotel, such as the booking engine, channel manager, till system and door locks, exchange data with the PMS.
- Most PMS revenue now comes from cloud-based solutions. When choosing a system, integrations, data export and support matter most.
- Since 2025, German guests in Germany no longer need to fill in a registration form, while international guests still do. The PMS has to reflect this.

**Anyone who deals with hotel software will come across the abbreviation sooner or later: PMS. It stands for property management system, the software a hotel uses to run its day-to-day operations. For most properties it is the single most important program they use. Yet owners of smaller hotels and newcomers to the industry in particular are often unsure what exactly it does and what it doesn't.**

## What a PMS does

At its core, the PMS is the digital successor to the old reservations book and the room board behind the front desk. It shows which room is occupied when, who is arriving and departing, which rate was agreed and what the guest has charged to the room during their stay.

Typical tasks include managing bookings and room allocation, check-in and check-out, guest profiles with contact details and preferences, and billing. On top of that come room status for housekeeping, such as clean, occupied or out of order, and reports on [occupancy](https://www.eingecheckt.de/en/what-is-hotel-occupancy/) and revenue.

In 2026, the comparison platform HotelTechReport surveyed around 450 hotel professionals about their PMS. 89 per cent said their system saves their team between two and more than ten hours a week.¹ The figures are based on self-reported answers, but they show how much daily hotel operations depend on this one system.

## The PMS as the control centre

A PMS rarely works alone. Most hotels use additional tools that exchange data with the PMS through interfaces.

[**Booking engine**](https://www.eingecheckt.de/en/what-is-a-hotel-booking-engine/)**:** the booking path on the hotel's own website. When a guest books direct, the reservation lands in the PMS automatically.

[**Channel manager**](https://www.eingecheckt.de/en/what-is-a-hotel-channel-manager/)**:** distributes availability and rates to [booking platforms](https://www.eingecheckt.de/en/what-is-an-ota-hotel/) such as Booking.com or Expedia and feeds the bookings made there back into the PMS.

**Till system:** drinks at the bar or dinner in the restaurant can be charged straight to the room bill.

[**Revenue management system**](https://www.eingecheckt.de/en/what-is-hotel-revenue-management/)**:** analyses booking data from the PMS and suggests rates.

[**CRM**](https://www.eingecheckt.de/en/what-is-hotel-crm/)**:** uses guest data to reach out to returning guests, for example ahead of the next season.

**Door locks, in-room TV and check-in kiosks:** receive information from the PMS about who is staying in which room.

Guests often notice directly how well these connections work: a welcome message with their name, an accurate bill or, at worst, a double-booked room when booking platforms and the PMS are not properly in sync.

## Cloud or on-site server?

In the past, the PMS usually ran on a computer in the hotel. Today, many providers offer cloud systems that are used in a web browser. According to an estimate by the market research firm Global Market Insights, cloud solutions accounted for more than 80 per cent of global PMS revenue in 2024.²

The advantage: the provider takes care of updates, data backups and remote access, and additional tools are often easier to connect. On the other hand, operations depend on a stable internet connection, and the monthly fees keep running.

## Registration forms: what the PMS has had to handle since 2025

Legal obligations also run through the PMS. Since 1 January 2025, German guests in Germany no longer have to fill in a hotel registration form; this is set out in Germany's Fourth Bureaucracy Relief Act. The obligation still applies to international guests: on the day of arrival they complete a registration form, sign it by hand and show a passport or equivalent ID. The forms are kept for twelve months and destroyed or deleted no later than three months after that.³

An up-to-date PMS should be able to distinguish guests by nationality and either remind staff of the deletion deadlines or apply them automatically.

## What hoteliers should look for

Checklist: finding the right PMS

1. **Integrations:** Can the system connect to the channel manager, booking engine, till system and door locks the hotel already uses?
2. **Data export:** Will bookings and guest data come out complete if you switch provider later?
3. **Ease of use:** Can new staff and temporary front desk workers find their way around quickly?
4. **Support:** Can you reach the provider when check-in stops working on a Saturday evening, and in your language?
5. **Costs:** What fees apply per room, per integration and for set-up?

Switching is a major undertaking. In the HotelTechReport survey, 26 per cent of respondents named staff training as the biggest barrier and 24 per cent named data migration.¹ That makes the initial choice all the more important.

## More in the magazine

A modern PMS alone does not make a hotel easy to steer financially. Why businesses can lose track of their numbers despite digital systems is the subject of our article ["Digitalised and Still Flying Blind?"](https://www.eingecheckt.de/en/digitalised-still-flying-blind-hotel/). How the family-run Roter Ochse in Rhens freed up time for guests by switching its hotel management system is shown in ["At the family-run Roter Ochse in Rhens, going digital has freed up time for guests"](https://www.eingecheckt.de/en/roter-ochse-rhens-digitalisation-family-hotel-mews/).
