Key points
- A channel manager automatically distributes a hotel’s availability and rates to booking platforms such as Booking.com and Expedia and brings the bookings back.
- According to the European hotel distribution study, 66 per cent of hotels use a channel manager, while 23 per cent still manage their channels manually.
- What matters is a two-way connection with the PMS. Without it, rooms can end up double-booked.
- Now that hotels may set rates freely for each platform, the channel manager is also becoming a pricing tool.

**A hotel that can be booked on several platforms has a problem that is invisible from the outside: every available room is on offer in many places online at the same time. As soon as it is booked somewhere, it has to disappear everywhere else. That is exactly what a channel manager is for.**

## What a channel manager does

In the hotel industry, a “channel” is a sales channel, such as Booking.com, Expedia, HRS or the hotel’s own website. The channel manager is the software that feeds all of these channels from one place. The hotel enters availability, rates and conditions once, and the channel manager passes them on to every connected platform.

In the other direction, it collects bookings from the platforms and passes them to the hotel, ideally straight into the PMS, the hotel’s central software. If the last double room is booked via Expedia, it is no longer available on Booking.com a few seconds later.

Besides rates and rooms, a channel manager usually also passes on rules such as minimum stays, closed-to-arrival dates or cancellation terms.

## How widespread channel managers are

For the European Hotel Distribution Study, the European hospitality association HOTREC and the university of applied sciences HES-SO Valais-Wallis analysed data from 2,713 hotels for 2025\. According to the study, 66 per cent of hotels work with a channel manager. 23 per cent still manage their channels manually, platform by platform in each extranet.¹ 58 per cent of hotels are also connected to [metasearch](https://www.eingecheckt.de/en/what-is-hotel-metasearch/) engines, that is, price comparison sites such as Google Hotels or Trivago.²

The concentration of the market shows why clean distribution matters: across Europe, Booking Holdings and Expedia Group together account for 85.4 per cent of bookings made through [online platforms](https://www.eingecheckt.de/en/what-is-an-ota-hotel/).¹

## Why the connection to the PMS is crucial

A channel manager is only as good as its data. Without a reliable connection to the PMS, someone at the hotel has to transfer bookings by hand and reconcile availability. That takes time and, at worst, leads to overbookings: a guest arrives and there is no room left.

Some providers build the channel manager straight into their PMS, while others offer it as a separate program connected through an interface. Both can work, as long as data flows in both directions without delay.

## Rates per channel: what has changed

Since 14 November 2024, Booking.com may no longer impose [parity clauses](https://www.eingecheckt.de/en/what-is-rate-parity-hotel/) on hotels in the European Economic Area. Hotels can set rates, availability and conditions freely for each channel.³ In practice, this is usually handled in the channel manager, for example through derived rates based on a base rate.

## What hoteliers should look for

Checklist: finding the right channel manager

1. **Channels:** Are all the platforms connected that the hotel sells through today or wants to in future?
2. **PMS connection:** Do bookings, rooms and rates flow automatically in both directions?
3. **Speed:** How quickly do changes reach the platforms: seconds or minutes?
4. **Rate logic:** Can rates be derived per channel rather than maintaining every rate individually?
5. **Costs:** Are there fees per month, per channel or per booking?

The role of the hotel’s central software, which the channel manager connects to, is explained in the glossary entry ["What Is a Hotel PMS?"](https://www.eingecheckt.de/en/what-is-a-hotel-pms/).
