Key points
- A booking engine is the booking path on the hotel’s own website. Guests see available rooms and rates and book direct, without a platform.
- According to the European hotel distribution study, 13.9 per cent of all hotel bookings in Germany in 2025 were made in real time via the hotel website.
- Direct bookings save commission and were cancelled less often than bookings via Booking.com.
- Now that hotels may be cheaper on their own website than on Booking.com, the booking engine is gaining importance.

**Many guests look at a hotel on a booking platform and then visit the hotel’s own website. Whether they book there depends heavily on one tool: the booking engine. It decides whether a direct booking takes two minutes or ends up as an email enquiry.**

## What a booking engine does

The booking engine, often called an internet booking engine or IBE, is the software behind the “Book now” button on the hotel website. It shows available rooms, rates and conditions for the chosen dates, takes the booking, secures it with a credit card or payment and sends the confirmation.

It draws its data from the PMS, the hotel’s central software, or via the [channel manager](https://www.eingecheckt.de/en/what-is-a-hotel-channel-manager/). A [direct booking](https://www.eingecheckt.de/en/what-is-a-hotel-direct-booking/) therefore lands in the room plan automatically, just like a booking made through a platform.

## How important the hotel’s own website is

For the European Hotel Distribution Study, the European hospitality association HOTREC and the university of applied sciences HES-SO Valais-Wallis analysed data from 2,713 hotels for 2025\. In Germany, 13.9 per cent of all hotel bookings were made in real time via the hotel’s website. Phone bookings accounted for 18.1 per cent.¹

Overall, 59.7 per cent of bookings in Germany came direct to the hotel, via the website, phone, email or at reception. 31.9 per cent were made through [booking platforms](https://www.eingecheckt.de/en/what-is-an-ota-hotel/).²

## What direct bookings bring

**No commission:** the hotel pays no intermediary fee to a platform for a direct booking, although it usually pays a fee to the booking engine provider.

**Fewer cancellations:** across Europe, the cancellation rate for direct bookings via the hotel’s own website was 9.1 per cent, compared with 19.0 per cent at Booking.com.²

**Direct contact:** the hotel receives the guest’s details itself and can get in touch before arrival.

## Why the booking engine is becoming more important

Since 14 November 2024, Booking.com may no longer impose [parity clauses](https://www.eingecheckt.de/en/what-is-rate-parity-hotel/) on hotels in the European Economic Area. Hotels may offer better rates or conditions on their own website than on the platform.³ For guests to take advantage of this, hotels need a booking path that is as easy to use as on the big platforms.

## What hoteliers should look for

Checklist: a good booking engine

1. **Mobile:** Does booking work on a smartphone without zooming and in just a few steps?
2. **Real time:** Are rooms and rates always the same as in the PMS, without manual reconciliation?
3. **Payment:** Are common payment methods available, and is it clear when payment is due?
4. **Visible benefits:** Can guests see what booking direct gives them, such as more flexible cancellation or breakfast included?
5. **Costs:** Is there a fixed monthly fee or a share per booking?

## More in the magazine

How one hotel rewards direct bookers with more flexible cancellation terms is shown in our article ["Last-minute guests, fixed schedules"](https://www.eingecheckt.de/en/last-minute-hotel-bookings-anders-walsrode/) about the ANDERS Hotel Walsrode. The software that manages rooms and rates in the background is explained in the glossary entry ["What Is a Hotel PMS?"](https://www.eingecheckt.de/en/what-is-a-hotel-pms/).
